This policy explains how I collect, use, store and share your personal information, including your health information, when you visit this website or become my patient. I follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
In this policy, “I”, “me” and “my practice” mean Dr Sarah McNamee (ABN 46 420 374 215).
What information I collect
As your GP, I collect the information I need to look after your health. This can include:
- your name, date of birth, address, phone number and email address
- your Medicare number, and concession or health insurance details where relevant
- your medical history, medications, allergies, test results, family history and lifestyle
- my notes from our consultations, and letters and results from other health professionals involved in your care
- payment details, which HotDoc handles (see below)
I don’t record consultations. I do use an AI scribe to help write my notes (see “Services that help run my practice” below).
How I collect it
Most of it comes from you: when you book, when you fill in a new patient form, and when we talk during a consultation. With your consent, or where the law allows it, I may also collect information from others involved in your care, such as your previous GP, specialists, and pathology or imaging providers.
How I use it
I use your information to provide your medical care and to run my practice. That includes:
- assessing, diagnosing and treating you
- writing prescriptions and referrals, and requesting pathology or imaging
- claiming Medicare rebates and taking payment
- sending appointment reminders and following up results
- meeting my legal and professional obligations
Who I share it with
I only share your information when your care needs it, when you have agreed, or when the law requires or allows it. This can include:
- other health professionals involved in your care, such as specialists, pathology and imaging providers, and pharmacies (for electronic prescriptions)
- Services Australia, to claim your Medicare rebates
- the services I use to run the practice, listed below
- others where the law requires it, for example a court order or mandatory reporting, or where it is needed to lessen a serious threat to someone’s life, health or safety
I never sell your information.
Services that help run my practice
- HotDoc handles online bookings, payments and appointment reminders. HotDoc has its own privacy policy on its website.
- Best Practice is my clinical software, where your medical record is kept. The data is stored securely in Southport, Queensland.
- Lyrebird Health provides my AI scribe, which converts my consultations into clinical notes, so I can focus on my patients during each consultation. I ensure all clinical notes created by Lyrebird Health are accurate before saving them to each patient’s file.
- Video consultations run on HotDoc, FaceTime or WhatsApp. Each has its own privacy policy.
- Google Analytics gives me statistics about visits to this website (see “This website” below).
Information stored or sent overseas
Google Analytics may process website visit data on servers outside Australia, including in the United States. That data does not include your name or any health information.
No patient information is stored outside Australia by any of the software I use to run my practice.
This website
This website does not ask you to enter any personal or health information. Bookings and payments happen on HotDoc.
I use Google Analytics to understand how people use the site, for example which pages they visit and roughly where they are. It uses cookies. It does not tell me who you are, and its advertising features are switched off. You can block it in your browser’s cookie settings, or with Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.
Keeping your information safe
I take reasonable steps to protect your information from misuse, loss and unauthorised access or changes. Your medical record is only available to people who need it for your care. I keep records for as long as the law requires, and then destroy or de-identify them securely.
Seeing or correcting your information
You can ask for a copy of the health information I hold about you, or ask me to correct it. Please get in touch in writing using the details below, and I will respond within 30 days. If there is a cost to provide copies, I will tell you first. In some cases the law allows me to refuse access; if that happens, I will explain why in writing.
Staying anonymous
You can browse this website without telling me who you are. To treat you, and to claim Medicare rebates, I need to know who you are.
Questions and complaints
If you have a question or a concern about how I have handled your information, please contact me first. I will respond within 30 days. If you are not satisfied with my response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
